Form I-9

Boise State University must complete Form I-9 to document verification of the identity and employment authorization of each new employee (both citizen and non-citizen) hired after November 6, 1986, to work in the United States in compliance with the Immigration Reform and Control Act of 1986.
Form_Specific_Process_Flow

New Employees

  • Section 1 of Form I-9, whether paper or electronic, must be completed by the employee by the end of the first day for pay (also referred to as first day of employment).
  • An administrator must review original documents establishing the employee’s eligibility to work in the U.S. and complete the employer section 2 of the Form I-9 within 3 business days of the employee’s first day for pay.
  • If you hire a person for fewer than 3 business days, Sections 1 and 2 of Form I-9 must be fully completed at the time of hire – in other words, by the first day employment for pay begins.

Bring your acceptable documents to Human Resources located in Capitol Village #3, 8:00am – 5:00pm, Monday through Friday to complete Form I-9. Click here for a list of acceptable documents.

If an employee fails to present appropriate original documentation within the 3-day period, the employee is not allowed to perform any work. Exception: The employee may present a receipt for a required lost, mutilated or destroyed document indicating he/she has submitted an application for a replacement document. In that case, the employee is given 90 days to provide the documentation.

Off Site Employee Options and Steps

Option A – On Line & Boise State HR

  • 1. Form I-9 Section 1
    • Complete section 1 ONLY on line here
      • For Other names, check the box NA if you do not have other names
      • Sign the form
      • Create a password or enter 12345 since you will not be using this again
      • You do not need to print the form, proceed to Step 2
    • 2. Form I-9 Section 2
      • Bring your unexpired original documents to the Boise State University Human Resources Department to complete Section 2

    Option B – On Line & Use a Notary

    • 1. Form I-9 Section 1
      • Complete section 1 ONLY on line here.
        • For Other names, check the box NA if you do not have other names
        • Sign the form
        • Create a password or enter 12345 since you will not be using this again
        • You do not need to print the form, proceed to Step 2
    • 2. Present your original documents to a notary to certify they have viewed original documents.
      Submit copies of the documents with the notary seal proceed to Step 3
    • 3. Send notary form and documents to Boise State University using an option below

    Option C – Print and Complete a Paper Form I-9

    New International Employees

    Bring your I-9 and Glacier Tax Withholding required documents to Human Resources located in Capitol Village #3, 8:00am – 5:00pm, Monday through Friday to complete Form I-9.

    Non-Student Employees who do not have a social security card:

    • Visit the Social Security Office and request one.
    • Get receipt from Social Security Office to verify the card request.
    • Bring the receipt, the Glacier and I9 required documents to Boise State Human Resources.

    Student Employees who do not have a social security card:

    • Complete the International Student Services Letter Request Form (takes 3-5 days).
    • Take the letter to the Social Security Office to request a social security card.
    • Get a receipt from Social Security Office to verify the card request.
    • Bring the receipt, the Glacier and I9 required documents to Boise State Human Resources.

    Rehired Employees

    If an employee is reappointed a new Form I-9 must be completed if:

    • The current original Form I-9 on file is over 3 years old
